SUMMARY

The Office Administrator proactively ensures the efficient and effective operation of Syniti Mexico office is in place to promote a safe and healthy work environment. Additionally, it is expected that these responsibilities will be conducted with a customer service mentality towards all internal business partners and team members.


Office Administration

  • Liaising with staff, suppliers and clients.
  • Developing and implementing necessary office policies and procedures.
  • Managing office budgets and necessary purchases.
  • Effective management of office providers such as mailing services (DHL), cleaning, among others.
  • Effectively manage day-to-day communication with the building administration team and ensure ongoing follow-up to resolve any property management requirements Contact with local attorneys and accountants, to make sure all our corporate books and company deeds are on time when those are required.
  • Support all related areas Managing Director, Delivery, HR, Finance, MD.

Health and Safety

  • Ensure building and office compliance with all required Municipal, State and Federal Health and Safety legislation and legal requirements that applies.
  • Document and communicate all applicable Health and Safety policies, procedures, and legal requirements, as applicable.
  • Effective communication with building administration to schedule and participate in earthquake drills.
  • Lead the Joint Health Safety Committee and be an active member of the Fire Brigade and coordinate annual training of earthquake and fire brigades.
  • Perform periodic inspection of the Mexico City Office to address any issues related to maintenance.

Skills and experience

  • Bachelors degree in administration or related.
  • 5 years of experience with office management.
  • Spanish – English.
  • Intermediate to advanced knowledge of MS Office (Outlook, Word, Excel, Power Point), SAP, Concur.
  • Project management knowledge is a plus.
  • Effective communication, strong work ethic, ability o exercise good judgment in a variety of situations, excellent interpersonal skills.
  • Ability to anticipate and prioritize requirements and/or situations.
