WHAT TO EXPECT

As an innovation leader, we look for ambitious, forward thinking, open-minded and well-rounded individuals to join our global team. Located in our Santa Fe office, you will help communicate action plans to the project team and gather necessary resources for each project assigned to the GCS. This role is essential for ensuring that all team members are aware of the current project status, their expected contributions, and timelines. Therefore, good communication and collaboration skills are essential.

Key responsibilities:

Intake and manage project requests using the project management tools and processes used by the Gates MKT team.

Manage projects by breaking them into manageable tasks with individual timeframes, goals, and assignments.

Monitor and update workflows as each project progresses, communicating it to the team and stakeholders in our platforms.

Use strong time management skills to help the team stay on track, flagging potential issues with the appropriate resources.

Ensure that all deliverables are named and tagged consistently and accurately using the defined file naming and meta tagging conventions.

Retrieve assets and source files from GCS and Gates archives as needed (e.g. high-res image files, working design files, etc.)

Review project work through established quality controls to ensure deliverables meet requirements and are brand-compliant

Act as an internal GCS main point of contact for all project participants

Reporting

Depending on the project and its requirements, schedule meetings and record outcomes (e.g. assigned tasks and next steps)

As needed, help to prepare and provide GCS documentation to internal teams for various requests.

Propose initiatives to keep the team informed and aligned on the projects worked by the GCS

ABOUT YOU

2 to 4 years of prior experience as a Project Coordinator, Project Administrator or a similar role at an advertising agency or coordinating creative teams.

College degree in Marketing and Communications, or similar.

Strong organizational and time management skills with a keen eye for detail

Ability to manage multiple projects simultaneously and meet deadlines, even under tight time constraints.

Experience creating and interpreting technical documentation, such as timelines and schedules.

Ability to work independently and manage project responsibilities autonomously from start to finish, as well as collaborate effectively with others.

Creative problem-solver with the ability to think outside the box.

Experience working with creative professionals, such as designers, writers, and developers.

Strong knowledge of the development process, formats, and requirements needed for creative projects.

Empathetic team player with outstanding interpersonal skills.

Ability to be flexible and adapt to changes in plans due to unforeseen circumstances.

Willingness to work in a fast-paced team environment.
