The role of the Reservations Agent

The Reservation Agent will successfully coordinate assigned responsibilities. The Reservation Agent is responsible for ensuring maximum guest satisfaction in accordance with all Four Seasons policies by reviewing and promptly responding to emails, reservation phone calls, and internal guest and employee calls.

Essential Functions

  • Respond and follow up on reservation emails, depending on each case should be escalated to the Reservation Supervisor and/or Reservation Manager.
  • Verify before creating a reservation if there is an existing profile in Golden, if there is, it should be used, otherwise a new one will be created.
  • Create the requested reservations either via phone or email and make sure you have all the data: Full name, credit card, phone number, email, address, names of companions, special requirements, reason for travel and special diets. This information should also be in Golden.
  • When the reservation is ready in the Opera system, the credit card must be charged for the deposit to guarantee the reservation, as applicable.
  • Once the deposit payment is confirmed, a confirmation letter will be sent to the client via e-mail where the days and daily rate will be reconfirmed.
  • At the beginning of each shift on the Reservations and PBX phone, the phone must be answered on the third ring at the most using the Resort's phraseology.
  • In coordination with the Reservations Supervisor and Manager, the reservations that came in through external channels (expedia, booking, etc.) will be reviewed daily.
  • Review the new reservations assigned to each Reservations Agent and in case of missing information, contact the guest.

Knowledge and Skills

Education:

High school education or equivalent experience

Experience:

  • One to three years of experience in a luxury environment
  • Prior experience in Guest Experience or Rooms department is highly desirable

Skills and Abilities:

  • Requires knowledge of the ability to operate computer equipment
  • Prior experience in Opera and Golden System
  • Ability to read and speak and write in English and Spanish
  • Understand and familiar with quality standards and service standards of the hotel
  • Reasonable cost analysis and cost management skills
  • Highest level of integrity and transparency
  • Apply an ethical approach to the outcome of situations
  • Strong interpersonal and relationship-building skills to work with cross-functional teams and vendors’ delivery man
  • Reasonable problem-solving, decision-making and conflict resolution skills
  • Work in a safe, prudent and organized manner
