Eaton’s ES AMER PCS PCD division is currently seeking a Administrative Assistant.

What you’ll do:

Job Summary

Assist the Plant Manager as well as the staff. Coordinate meetings, and manage minutes with their action trackers plus follow-up. Generate reports and updates for key metrics charts and presentations as Ops Review. Coordinate and arrange travel/transportation for visitors to the Plant and for the staff. Administrate conference room and kitchen services.

Job Responsibilities

1. Responsible for coordinating Plant Manager’s Meetings maintaining updated agendas and giving proper follow-up to all events including issues of written agreements, letters, e-mails, and calls.
2. Responsible to coordinate, communicate, and assist Ops Reviews Meetings, LT Staff meetings, and other assessment meetings. Develops and tracks minutes and action plans into the tracker.
3. Assistance in general meetings involving visitors and the plant staff or local employees. 
4. Coordinate travel arrangements for salaried personnel. Including Hotel reservations, car rental/ground transportation, cash allowance, insurance, and flight schedules.
5. Assist with visitors’ hotel reservations, meals, and ground transportation.
6. Obtain reasonable fares from travel agencies as well as hotel/car rental corporate rates as per Eaton’s policies and fulfill the necessary procedures for approval.
7. Maintain the assigned Conference Room and its electronic equipment in good condition. (5S, Infrastructure, projectors, visual and audio devices, etc)
8. Support activities/celebration logistics related to refreshments, decoration, and or specific requirements (activities such as: years of services, outside 
Leadership Team meetings, Christmas decoration, farewell, etc.)
9. Generate purchase requisition and/or generate expense reports including kitchen supplies, air tickets, catering services, transportation, etc.
10. Generate Operation reports and other relevant to the function.
11. Acting as liaison officer is responsible for coordinating Plant Tours (Corporacion Zona Franca, Visitors, Companies/Eaton Managerial Staff).
12. Support all other requirements from General Management and/or the plant Staff.
13. Support with the guidelines of 5’S in their assigned area.

Qualifications:

Bachelor's degree in Bilingual Executive Secretary, Business Administration or Marketing.
1 - 3 years of experience as assistant.
Prefer: experience in purchasing and/or events coordination
Fully bilingual (English/Spanish),

PC/Computer knowledge Office.
