POSITION OBJECTIVE

Provide assistance to Area Manager in daily activities to successfully manage business activities and achieve company goals.

YOUR KEY RESPONSIBILITIES

  • Manage the Managers’s agenda
  • Coordinate travel requests for Managers (flights, hotel reservations, car rental, HRG profile)
  • Create expense reports, as well as area expense reports if needed (invoice requests, via Concur/Axos)
  • Monitor travel expenses compliance to corporate guidelines
  • Coordinate, translate documents
  • Create and send memos from Managers
  • Keep meeting minutes when required
  • Organize and maintain confidential documents
  • Manage confidential information with extreme care and trust
  • Support in visit requirements, including agenda, hotel and transportation arrangements, security equipment, coffee break, dinner reservations.
  • Do travel arrangements for other employees (if needed and in agreement with Manager’s mandates)
  • Attend phone calls, organize phone conferences, virtual meetings
  • Coordinate shipping requirements (FEDEX, DHL etc.)
  • Create reports according to area demands
  • Active participation on activities related with Health and Safety
  • Any other task or responsibility assigned by the Managers
  • Create and follow up on purchase requisitions, as well as purchase of office requirements when needed
  • Creation of Service desk tickets for IT and Maintenance requests
  • If needed, handling personal issues from Director to allow optimization of efforts in the plant
  • Follow BRP values and behaviors
  • Ensure a safe working environment and take full accountability for all safety related topics.
  • Enforce Quality BRP policy

YOUR QUALIFICATIONS AND SKILLS

  • Active participation on all activities related with Health and Safety
  • Compliance on BSC dashboards of the areas
  • Timely compliance on activities assigned by the Manager (1 on 1 meetings and To do lists.)
  • Timely response on all travel arrangement requests (Flight, hotel, car rental, reservations.)
  • Compliance on PR and PO invoice processes (invoices paid on time according to the shared services calendar.)
  • Active participation on all BRP related activities (Communication meetings, OfficeVibe Surveys, events, and all other surveys.)
  • Specific KPIs are also measured by the BRP annual objectives established by both the Director and the Director’s Assistant. The extent and content of the KPI is also established and reviewed as per general procedure, initial, midterm evaluation and end of the year evaluation.
  • Microsoft office intermediate/ advanced skills
  • Computer tools, phone, etc
  • SAP desired

Education:

  • Bachelor’s  degree

Experience:

  • Min. 3-years  experience in assistant positions at manufacturing companies.

Language:

  • Fluent in Spanish  written and verbal.
  • English written and verbal (Min: 80%).
  • Knowledge of French or German is an advantage
