The Role:

We are seeking a customer-service oriented and self-motivated Project Assistant who can work well as part of a team and independently. This role is best suited for someone with a strong understanding of project workflows from proposal phase through project closure, to help Project Managers build a bridge between client’s satisfaction, financial aspects of the project, and complete project milestones, and who can accurately communicate relevant project and financial information to the project team.

The right candidate will have strong attention to detail and quality while still meeting tight deadlines, have great organization skills, the ability to switch gears at a moment’s notice, and coordinate company practices within the project assistant group to improve consistency and compliance.

Responsibilities:

  • Maintains project setup, implementation, and closing documentation to ensure completeness and accuracy of project’s quality and documentation requirements.
  • Provides monthly reporting on project performance, prepare Earned Value Management (EVM) reports, and provide accounting data analysis including but not limited to cost projections and staff forecasting.
  • Monitors project balances on Accounts Receivable, Accounts Payable, Work In Progress, and Unearned items.
  • Effectively communicates with the project team during the entire life cycle of the project and provides continuous support.
  • Liaises with other departments, clients, and outside vendors to resolve cross-functional matters.
  • Participates in internal and external audits.
  • Assist with proposal packages and bid documents.
  • Supports the creation and maintenance of project schedules using software applications including Excel, Smartsheet and MS Project.
  • Prepare and file project documentation such as progress reports, meetings minutes, etc.
  • Perform document control activities including proper recording of issued and received documents, maintaining document control logs.
  • Format and edit letters, reports, and all other correspondence from the draft stage to client-ready work; adhere to record retention policies and procedures; and follow an organized filing/document management process of electronic and paper documents.
  • Perform other administrative duties as assigned.
  • Assist in travel and logistics coordination.

An Ideal Candidate:

  • Bachelor's degree in accounting, business/finance, construction management, industrial engineering, or a related field from an accredited college/university preferred, or equivalent work experience.
  • Previous project controls, accounting and/or project administration experience, with basic to moderate accounting skills.
  • Possess strong critical thinking, problem solving, customer service and interaction skills.
  • Have a proven ability to work well under pressure and with minimal supervision.
  • Possess strong organizational and administration skills.
  • Be able to communicate effectively at all levels of an organization.
  • Be proficient in Microsoft Office, MS Project, and Adobe.
  • Be able to read and understand bid and contract documents.
  • Have strong attention to detail and organization skills.
  • Be able to represent the company in a professional and positive manner.
  • Be fluent in English and Spanish.

You will be working in Knight Piesold’s office in the Polanco district of Mexico City with a small team of local and foreign engineers. Position involves frequent interaction with other offices throughout the world.
