Description
An opportunity has arisen to join the Cubico team, as the Office Manager. The role will be responsible for organizing and managing office operations and supporting the team. A high degree of flexibility is required to respond to shifting priorities and ad hoc tasks as required.
Key Responsibilities
- Managing all items related to the offices in Mexico including:
- Liaising with the landlord and/or building manager on any office, building and security related matters
- Managing supply contracts for the office e.g. gas, electricity, internet, cleaning, rubbish etc
- Ensuring the office is adequately stocked at all times (e.g. in the kitchen, toilets, stationery etc) and kept clean
- Liaising with the IT Team to ensure any IT issues are resolved
- Arrange regular testing for electrical equipment and safety devices
- Dealing with any issues in terms of building maintenance as required
- Ensuring the meeting rooms are prepared for meetings
- Arrange internal and external lunches/dinners
- Diary management for the meeting rooms
- Distributing incoming mail and sending outgoing mail
- Answering incoming calls efficiently and politely
- Arrange building passes for employees and visitors
- Supporting the Team including:
- Travel and diary management, planning ahead and making travel arrangements/bookings according company policy
- Arranging courier services
- Managing monthly credit card expense reports on our expense system including gathering and collating receipts and filling in the relevant information on the system
- Assisting with Accounts Payable
- Ensuring health and safety adhered to and take on Fire Warden and First Aider responsibilities. Assist with other health and safety matters when required.
- Assisting with enrolment of new hires
- Performing the hardcopy documentation management of the company
- Liaising with Office Managers in overseas offices regarding travel changes, flights, hotel, taxi bookings and itineraries
- Helping with ad hoc administrative tasks for the Team
- Collaborate with colleagues reviewing third party relationships, arranging events and project implementation
Skills, Knowledge and Expertise
The knowledge and skills required to do this job well include:
- Excellent IT knowledge, particularly Microsoft Office (Word, Excel, PowerPoint, Outlook and Teams are a must)
- Calm, polite and professional at all times
- Well organised and excellent attention to detail
- Excellent communication skills
- Flexibility and a willingness to undertake varied responsibilities working alone or as part of a team
- Fluent in English
